This information may be shared through a personal meeting, filling up the registration form upon signing up as a user, submitting an order through e-shop, e-mail, telephone, via Skype or live-chat or by fax.

You can visit our website without providing any personal data. When you choose to submit it to us, we process this certain personal data about you. This privacy policy applies to all Solis BioDyne visitors (individuals, service providers, partners), who visit Solis BioDyne premises.

Please read the privacy policy carefully. Solis BioDyne may make changes to the privacy policy if necessary. Changes or additions to the terms and conditions will be notified in communication channel. An up-to-date privacy policy is published on Solis BioDyne's homepage.

The privacy policy is a part of Solis BioDyne`s quest reception rules and it is necessary to understand before visiting.

1. Definitions

Personal data is any data relating to an identified or identifiable physical person.

Processing of personal data is any operation performed on personal data, such as collection, recording, modification, use, viewing, erasure and destruction.  

Legitimate interest is, from the point of view of Solis BioDyne, data processing activities in which Solis BioDyne considers that the interests or fundamental rights and freedoms of data subjects do not outweigh Solis BioDyne's interests. These include activities related to guarding and securing Solis BioDyne's assets. Solis BioDyne also has a legitimate interest in ensuring a smooth organization of work and cooperation management.

Data subject is the physical person whose personal data is processed by Solis BioDyne. For the purposes of this privacy policy, the data subjects are Solis BioDyne visitors, including service providers and partners. The privacy policy refers to each of these data subjects as “You” or “visitor”.

The controller is the person who determines the purposes and means of the processing of personal data and is responsible in particular for ensuring that the processing of personal data is carried out lawfully and that the rights of data subjects are guaranteed. 2. Collection and processing of personal data

In general, Solis BioDyne collects visitors personal data during the period of cooperation. Solis BioDyne by bailiffs when they contact Solis BioDyne (for example, in the event of a debt). Solis BioDyne can also collect personal data about you from public sources. Solis BioDyne will only collect personal data to the extent reasonably necessary for the purposes for which the data are processed.

In certain cases, Solis BioDyne may ask your consent for the processing of your personal data. In this case, you will be explained each time before the start of the processing operations, for what purpose the consent is asked and what personal data Solis BioDyne intends to process. You have the right to withdraw this consent at any time. The withdrawal of consent does not have a retroactive effect and it is limited to the further processing of personal data. In certain cases, which may be another legal basis (e.g., the law and legitimate interest), Solis BioDyne may have a legal basis for continuing to process your personal data, regardless of the withdrawal of consent. 

If you contact Solis BioDyne, we will process data about you depending on the purpose of the request. The personal data we process about you depends on a specific contractual or pre-contractual relationship between you and Solis BioDyne. The personal data we process about you may include the following:

  • first and last name;
  • identity document data;
  • contact details (address, e-mail address, telephone number);
  • other information related to the contract (time of conclusion of the contract, price, payment information, current account number or other information provided in the contract);
  • professional e-mail correspondence;
  • camera recordings of you;
  • the time and purpose of the visit.


Solis BioDyne has the right to verify the accuracy of the personal data disclosed by you.

3. Purposes of processing personal data

Solis BioDyne processes personal data necessary to provide the service and fulfill contractual obligations as well as for the performance of Solis BioDyne's statutory obligations or for Solis BioDyne's legitimate interest (legal basis).

Solis BioDyne processes the personal data of its visitors for the following purposes: 

  • identification of the person for the purpose of performing and ensuring the contract;
  • communication for the purpose of performing and ensuring the contract;
  • responding to inquiries and requests;
  • organization of work;
  • other processing based on the legitimate interest of Solis BioDyne, provided that the legitimate interest of Solis BioDyne does not outweigh the rights of the data subject (e.g., for the purpose of protecting the assets of Solis BioDyne).


Solis BioDyne has described all its activities in which the processing of personal data is carried out and the basis for the processing and will keep this document up to date on the intranet.

4. Use of security cameras

Solis BioDyne uses security cameras managed by Tartu Science Park in the external territory of its location to ensure the protection of the information and property of all users of the building. When visiting/staying on our premises, your image may remain on the security camera recordings. Security cameras only record images, no sound is recorded. The camera image is not monitored in real time. When security cameras are used, the areas within the security cameras' field of view are always marked with the appropriate stickers.

The legal basis for the use of security cameras and their recordings is the legitimate interest of Solis BioDyne and Tartu Science Park to ensure the protection and security of information and property and to investigate incidents that have occurred.

Security camera recordings are stored for one month and access to the security camera recordings is restricted only to specific employees of Tartu Science Park and the company providing the recording service, who need access to security camera recordings strictly in connection with the performance of their duties. If a security incident has occurred, the relevant location will be retrieved from the recordings and specific video and/or image material (evidence) will be stored until the incident is resolved and property damage is compensated.

You have the right to access and receive a copy of the recording in which you are depicted. To obtain a copy of the recording, you must submit a request to the contact details provided in the “Contact” section of the privacy policy. The request must describe the time and place at which your image was recorded as precisely as possible. Solis BioDyne reserves the right to reject an application if the granting of your application would unreasonably compromise the rights and freedoms of others. Solis BioDyne also has the right, if technically reasonably practicable, to cover the images of other persons for the purpose of protecting their rights and freedoms prior to the release of the recording.

5. Retention of personal data 

Solis BioDyne will only retain your personal data in a form that allows you to be identified for as long as is reasonably necessary for the purposes for which the personal data was collected, justified by Solis BioDyne's legitimate interest, provided that Solis BioDyne's legitimate interest and any interference with the rights and freedoms of the data subject are balanced or that such obligation arises from law.

When retaining personal data, we comply with the following retention periods:

We retain the security camera recordings for a maximum of 1 month, material necessary for the investigation of a specific case for up to 3 years, as of the occurrence of the incident;

Data in digital form shall be retained in a dedicated program accessible only to limited personnel subject to user rights managed by the IT Manager. The program is protected by a password that is not accessible to unauthorized persons. Documents and copies in physical form (on paper) shall be retained for this purpose in separate lockable rooms or cabinets accessible only to the personnel manager and the members of the management board.

6. Your rights regarding your personal data 

Solis BioDyne guarantees all rights under current legislation to the data subjects. During processing your personal data, you have the following rights:

  • right of access to data, which means that you have the right to ask at any time whether Solis BioDyne has any personal data about you, and the right to be informed about what personal data Solis BioDyne processes about you and for what purposes and on what legal grounds;
  • the right to rectification of personal data, which means that you have the right to request Solis BioDyne to clarify or correct your personal data if it is insufficient, incomplete or incorrect;
  • the right to object, which means that you have the right to object to the processing of your personal data by Solis BioDyne;
  • the right to request the deletion of personal data, which means that you have the right to request Solis BioDyne to delete your personal data, for example, if the personal data is processed with your consent and you have withdrawn your consent;
  • the right to restrict processing, which means that you have the right to demand that Solis BioDyne restrict the processing of your personal data, for example if Solis BioDyne no longer needs your personal data for processing purposes or if you have objected to the processing;
  • the right to data portability, which means that you have the right to receive data that you have provided to Solis BioDyne electronically in writing or in a commonly used electronic format and, if technically possible, to require Solis BioDyne to transfer this data to a third party service provider (this right applies only to personal data processed in an automated manner for the purpose of fulfilling a contract concluded on the basis of consent and with the participation of an person).
In order to exercise the aforementioned rights, you must submit an application at the contact details provided in the 'Contact' chapter. Solis BioDyne shall respond to the request in the form requested by the data subject (written, reproducible form) no later than 1 month after receiving the request. In its reply, Solis BioDyne sets out its decision and the reasons for it.

If you find that Solis BioDyne is infringing your rights when processing your personal data, please always contact Solis BioDyne first. However, you always have the right to lodge a complaint with the Data Protection Inspectorate if you find that Solis BioDyne is infringing your rights when processing your personal data.
